Office Administrator / Scheduler

We are currently seeking an experienced and highly organized Office Administrator/Scheduler to join our dynamic scheduling team. As an integral part of our company, you will be responsible for efficient coordination and allocation of our skilled tradespeople to various projects. This is a fantastic opportunity for a highly experienced individual with strong administration skills to contribute to our dynamic and fast-paced environment.

Responsibilities:

  • Coordinating and scheduling jobs to our field team.
  • Handling telephone calls, enquiries, and managing emails/correspondence promptly and professionally.
  • Tracking jobs and updating customers on project progress.
  • Liaising effectively with clients, subcontractors, and suppliers.
  • Assessing project requirements, client preferences, and resource availability to create optimal schedules.
  • Collaborating closely with team members and project managers to ensure timely project completion.
  • Confirming appointments, gathering necessary information, and providing updates on scheduling matters to clients/team members.
  • Maintaining accurate records of job assignments, schedules, and changes.
  • Participating actively in team meetings to discuss ongoing projects, challenges, and improvements to scheduling processes.
  • Daily deadlines must be met, overtime may be necessary.

Qualifications:

  • Extensive and demonstrable experience in an administrative role, reflecting a strong, in-depth background in administration.
  • Strong organizational skills and meticulous attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to multitask and adapt in a dynamic and fast-paced work environment.
  • Excellent Computer Skills.
  • Enthusiasm for learning the various trades and their requirements.
